Can I take a leasing at Excelease?
Yes in following cases:
- if you are subject to VAT
- if you are self employed
- if you are part of a governmental agency
Bear in mind that if you are an individual you can only conclude an operational leasing.

What’s the difference between an operational and financial leasing/renting?
An operational leasing is a rental formula in which maintenance and additional services can be included (tyres, insurance, assistance…). There is no purchase option at the end of the contract and the invoices are to be booked as costs (off-balance).
A financial renting is a rental formula with a purchase option of minimum 16%. Additional services can be added.
A financial leasing is a formula with a purchase option of maximum 15 %. Additional services can also be added.

What is the difference on an accounting point of view between financial leasing and renting?
Financial renting is an off-balance transaction which does not influence the company’s debt as the invoices are being booked as costs.
Financial leasing is an on-balance transaction. The vehicle is being amortized upon your depreciation terms.

When is the operational leasing interesting for my company?
An operational leasing is an off-balance transaction during which Excelease finances the vehicle at 100%. It is a pure rental formula.
If you wish an “all inclusive” formula, a simplified administration, to devote more of your time to your core business and you do not want to take any risks (especially on the residual value), you should go for an operational leasing.

When is the financial renting interesting for my company?
A financial renting is an off-balance transaction during which Excelease finances the vehicle at 100%. It is a pure formula with a purchase option.
Knowing that a high residual value ensures you a low monthly rent while retaining a purchase option, you do not take any risks on the residual value.
You should definitely go for a financial renting if you wish a simplified administration and to devote more of your time to your core business while benefiting of a purchase option at the end of the contract.

May I offer rental cars to new employees still under trial period?
We generally offer second hand cars rental during trial period of employees. This avoids costs in case the employee decides to leave the company and that you have to return the car earlier than the end of contract date.

What is the duration of a leasing?
Minimum 30 months and maximum 60 months.
In case of an operational leasing, it is the number of kilometres which will determine the maximum duration of the contract.

Am I entitled to a replacement car in case of maintenance of my leasing car?
The maintenance lasts 1 day but you can choose among these two options:
- either way you add a replacement car for maintenance purpose to the additional services in your operational leasing
- either way you rent one at the dealership.

Am I entitled to a temporary car?
Yes, once you have ordered an Excelease car you can rent a temporary car –at own expense- through our short term partner Toyota Try & Buy or Europcar. We will arrange reservation for you.

What document will I need to provide the Credit Committee for my leasing request?

Will I be requested to pay a deposit or a bank guarantee?
This will be determined by the Credit Committee.
If it were to be the case, the deposit or guarantee would have to be provided by bank transfer.
The bank guarantee will be placed on an account on name of Excelease. The bank guarantee and the interests will be refunded after the expiry of the contract after deducting bank charges and administrative fees.

Can I request part of the options/accessories to be charged back to the driver?
Yes, if foreseen by your Carpolicy.
If it were to be the case, the order would be effective upon receival of the driver’s payment.

Can I keep my vehicle if I leave the company?
This request needs to be made to Excelease and will be effective upon receival of “transfer document” and general & particular conditions signed for agreement by all involved parties.
All rights & obligations of the original agreement shall be incumbent on the assignor until all transfer conditions are fulfilled.
In case of transfer, 175,00 € VAT Excl. will be charged to the assignor.

Are rents subject to the index?
Yes, in following cases:
- review of insurance premiums based on damage statistics.
- review of insurance premiums in case of driver’s change
- review of insurance premiums dictated by the new insurer (change of insurance company)
- review of the fuel provision if variation of more than 10%
- unforeseen an unique circumstances (increase of spare parts/hourly wages of more than 20%)
- too high miles variation

Can I add an accessory to the car after the delivery of it?
The installation of additional accessories is permitted upon approval by Excelease.
At return date of the vehicle, you have two options:
• the accessories have been removed at your own expense. Any damage due to the removal of accessories (s) will be charged to lessee
• the car is being returned with added accessories but the lessee will not be granted of any compensation.
This rule also applies to the lettering except that Excelease will charge the removal of the lettering if still on the vehicle when returned.

Are the winter tyres foreseen in my contract?
Tyres and winter tyres are separate additional options at Excelease.

Can I include the fuel card in my leasing contract?
Yes, in case you have over 10 Excelease leased vehicles.
The client determines whether he goes for a fuel formula extended to Europe of limited to Belgium.
We are going to invoice a monthly provision based on an estimation of the average cost. A regularization and detail will be provided on a periodic basis and if needed a recalculation will be done in case of fuel price change or if the difference is too important between use/real cost and provision.
The fuel car is being provided around delivery date (or as soon as possible if request during ongoing contract), code is being sent separately by e-mail/mail.

What if I drive more/less kilometres than initially foreseen?
Allowances for miles variation can be found on our quotations.
However, should the variation be of more than 20%, in order to avoid too important variations at the end of the contract, a recalculation proposal will be sent.
Should you –on your side- wish a recalculation at any time of the contract, do not hesitate to contact us.

PAYMENTS

My car has been delivered, invoicing has begun, I completed a direct debit, however no amount was withdrawn from my account, is this normal?
You must know that direct debits are being requested twice a month at Excelease: the 1st and 15th of each month.
For all invoices or credit notes having a due date between :
- the 1st and the 15th of each month, direct debits are being requested the 15th of the ongoing month
- the 15th and the 1st of the month, direct debit are being requested the 1st of following month
In case of new direct debit, please ensure that your direct debit is active at Excelease. This is verifiable if the following mention appears at the bottom of your invoice "This bill will be presented to your bank for payment by direct debit at due date”.
If we confirm that it is not active in our system, please contact your bank to see if they have received the direct debit and if necessary action has been taken. If so, please send us the direct debit number so that we can link it to our system. Should they not have received it please find data to open a new direct debit (in this case please also provide us with the direct debit number) :

Papers of the vehicle have been stolen/lost. What do I need to do?
Board papers (certificate of registration, COC certificate of conformity) and/or license plate :
You need to declare the theft/loss to the police within 12Hrs and provide the original of loss/theft attest (“attestation de dépossession involontaire”) so that we can request a duplicate.
Any duplicate request will be invoiced at 40,00 € VAT excl.

Fuel card :
You need to block the card by calling CARDSTOP at 070 344 344 and inform Excelease so that we can order a new fuel card.

When will the fuel card be sent?
The fuel car is being sent by registered letter around delivery time (or later if request made afterwards) and the code is being send separately by e-mail/mail.

What option do I have in case the employee leaves the company before the end of the contract date?
- Either way you come to an agreement with the employee and his new employer and the vehicle can be transferred to the new company (see FAQ tab / ORDER / Can I keep my vehicle if I leave the company)
- Either way the vehicle is being used as a poolcar within your company awaiting a possible new employee / driver (if change to a new driver please send us a no claim certificate)
- Either way you return the vehicle and a penalty for early termination is being invoiced (the difference between book value and estimated resale price) plus the re-use allowance.

Can I tow a trailer/caravan with my car?
Of course, just make sure of the following :
- abide by the safety and loading rules
- the towing vehicle must obligatory undergo technical inspection before registration of it
- technical Inspection <750 kg same rules as for vehicles (annually after 4 years)
- insurance < 750 kg=>covered by the liability insurance of the towing vehicle
- technical inspection > 750 kg = yearly
- insurance> 750 kg=>must be insured separately

I just had an accident, what shall I do?
Every damage with body damage/broken glass (with or without third party) must be reported to Excelease within 24 hours (by fax or by mail insurance@excelease.be 02.386.75.10).
If it involves third party please make sure you fully complete (name of parties, model, license plate, circumstances, insurance policy nr, sketch, back of attest) and undersign the accident report and provide the original to Excelease.
Upon receival of the report a damage file will be opened and you will be informed within 2 days of the procedures to follow.
A repair happening without any report having prior been sent to Excelease, and, thus not agreed on by Excelease, will be at your charge.

Am I entitled to a replacement car during the repair on my vehicle?
Yes, if this option has been selected in your contract.
When placing the reparation appointment, please first request the repair centre if they can provide a replacement car, if not, our insurance department will do the necessary arrangement in order to get one for you.
If not foreseen in your contract, we can still do the necessary arrangements but these will be charged to you. If we obtain refund from the third party, these costs can be reimbursed to you.
In case of immobilisation and if you subscribed the assistance please call Excelease Assistance (+32-(0)3-253.60.10) who will provide you with a replacement car for 10 days.

Why shall I pay the contractual franchise if I am not responsible for the accident?
Franchise and responsibility have nothing to do with each other.
The franchise, as explained in the general conditions, is an amount you accept to pay as compensation for the damage on the car (1 franchise/damage).
If we obtain reimbursement from the third party, and upon receival of the amount, we will refund it to you. This can take some time, depending on the complexity of the file.

My new insurer requests a no-claim attest. What is it and how can I obtain it?
As each insurer has now the right to develop its own Bonus/Malus system and that they vary from one insurer to another, a no-claim attest has been implemented.
This document reports all damages during the contract as well as the start date and the policy contract number. Your new Bonus/Malus and premium will be calculated upon this document

Can I go abroad with my Excelease car ?
Yes, as long as it does not exceed 3 months. You are allowed to move and are covered in the countries listed on the green card. For other countries, Excelease provide a certificate upon request. You just need to send a written request specifying the dates of departure / return and the country (ies) in which you plan to go.

Can I lend my Excelease car to a family member/friend/colleague?
Yes, provided you have the agreement of your employer and that the person you 'lend' your vehicle to has a valid driving license.
Please note that an additional franchise of € 250,00 is charged to the lessee insured at Excelease, if the driver is under 24 yrs and has been declared responsible for the damage.

Am I entitled to a replacement car in case of immobilisation, if yes what type?
Yes, if you have subscribed to the assistance
10 JRS max=> if you experience a breakdown in Belgium (type A)
5 JRS max=> if you experience a breakdown abroad
If you are immobilized due to a technical problem noticed by the garage e.g. :
- vehicle of the garage
- vehicle we provide through our short term partners (vehicle type not defined).
Excelease only guarantees your mobility, not the type of car (see contract or driver’s hand guide).

How is a mileage count being calculated?
The calculated is based on the duration and number of driven kilometres.

How is the damage assessment being done at the end of the contract?
The driver will be requested to fill-in and sign a carcheck with the garage/Exceldeal when returning the car. This document reporting the state of the returned car will be used for the closing of the contract at Excelease, but also for the insurer to assess the damage. Further expertise will confirm whether potential damage is due to wear and tear or not. In case of proven damage, Excelease invoices a franchise standing for the decrease in value for the resale of the car.

What do you mean by « wear and tear »?
Wear and tear is being defined by norms published on Renta (www.renta.be). On top of the age & mileage of the car, size, depth and number of damages are also being analyzed.

I do not agree with the end of lease contrat assessment?
You have the possibility to request a counter-expertise at own cost, but this option is subject to a response time (cfr contract).

Is the technical check included in my contract?
Yes, in case of operational leasing (labour costs of the garage that has the car checked on your behalf are not included in the contract).

Where do I need to return my car at the end of the contract?
- You take a new Excelease vehicle in leasing: in this case, the return / delivery will happen at the same time. You will be asked to complete / sign a carcheck and a delivery slip with the garage. The return of the old vehicle will be mentioned on the delivery slip of the new vehicle.

In case you do not replace with a new Excelease car : you can return the car to our second-hand centre after having made an appointment(Exceldeal Leuvensesteenweg 617 – 1930 Zaventem +32-(0)2-254.33.00 or remarketing@excelease.be) or at any other location of your choice but in this case we will invoice a fee to repatriate the vehicle.

Can I buy the vehicle at the end of the contract?
Yes, in case of financial leasing/renting.
It is not foreseen in case of operational leasing but we can still provide you with a purchase price equivalent to the market value.
